Schedule and manage exams

Mark a calendar lesson as an exam, find exams with filters, attach materials, and plan exams from your curriculum.

By the end of this guide you'll know how to schedule an exam on your calendar, find it quickly, and keep the paper and plan with it.

What an exam is in GapFiller

An exam is a lesson whose type is set to Exam (Assessment or test session). It uses the same school, subject, class, date and time as any other lesson — only the type changes.

Exams:

  • Appear on the Calendar with a graduation-cap icon
  • Open with the same tabs as lessons (Details, Homework, Materials, Todos, Curriculum)
  • Can be marked Prepared when you're ready
  • Can be moved or deleted like any lesson

There is no separate Exams page. You create and manage exams from the calendar (and from exam-type topics in a curriculum).

GapFiller does not grade students or track marking completion. Use the exam’s plan, materials and todos for your own marking workflow — or the Grade Calculator when you need to convert scores.

Schedule an exam from the calendar

You need a lesson on the day of the test (create one, or use a slot from your timetable).

    Open the lesson

    Go to the Calendar and open the lesson that will be the exam.

    Change the type to Exam

    Click the type chip (it usually says Lesson). Choose ExamAssessment or test session.

    Add the title and plan

    On the Details tab, set a clear title (e.g. “Unit 3 written test”) and write what you need in the plan — objectives, seating, timing, reminders for you.

    Save

    Click Save Changes.

To turn it back into a regular lesson later, open the same chip and choose Lesson.

How exams look on the calendar

Exams use the same colours as your school/subject lessons, plus a graduation-cap icon so you can spot them in Day, Week, Month and Stream views.

You can drag an exam to another slot the same way you reschedule a lesson.

Find only exams

Use the calendar Event Types filter:

  1. Open filters on the calendar
  2. Under Event Types, leave Exam on (and turn off Lesson / Personal Event if you want a clean list)
Under Event Types, leave only Exam on to focus on assessments

Combine that with school, subject or class filters when you teach several groups.

Materials and preparation

Attach the blank paper, answer key or seating chart on the Materials tab (Add Material — upload, choose from Files, or link a URL). For the full library and cloud import (Pro / Lifetime), see Upload and organise materials and Connect Google Drive and OneDrive.

On Todos, add personal reminders such as “Print 28 copies” or “Finish marking by Friday”. Mark the exam Prepared when everything is ready — the same toggle you use for lessons.

Plan exams in a curriculum

When you build a curriculum, you can set a topic’s type to Exam. That topic shows as an exam in the topic list.

When you apply the curriculum to calendar lessons, the exam type comes with the topic — so midterms and finals stay marked as exams without changing each lesson by hand.

Delete an exam

Open the exam and delete it like any lesson. If it belongs to a recurring series, GapFiller may ask whether to delete only this date or following / all events — choose carefully.
