By the end of this guide you'll use the Gradebook on the Exams page: pick a class, read weighted averages by term and year, change a mark without leaving the grid, and export the sheet.
Prerequisites
- Add student names to the class
- Create at least one calendar exam or assessment
- Optional: set school years and terms under Academic calendar so the grid can group marks by period
Open the gradebook
- From the sidebar, click Exams
- Switch to Gradebook
- Under Choose a class, pick a class from the searchable list (school → subject → class)
The picker subtitle is: Pick a class to see every mark in one grid, with averages by period and for the year. Use Search classes when the list is long. If you have no classes yet, GapFiller asks you to create one first.
The toolbar
After you pick a class, the bar above the grid has:
- The class name — click it (Switch class) to pick another group
- All classes (the ×) — back to the class list
- Year — the school year whose dates bound All year. If none exist, add a year in School Settings
- Term chips — All year, then each named term
- Export CSV — on the right, once the grid has loaded
Read the matrix
Rows are students. The name column stays put as you scroll sideways. Columns are assessments, newest first.
Each header shows the date, title and kind (Written, Oral, Homework…). Click the header to open the full grading sheet. The + at the end of the header row adds an assessment for this class.
If there are more than about 50 assessments, a banner explains you are seeing the most recent ones — pick a Term to reach the rest.
All year (with terms)
When All year is selected and you have terms, columns are grouped by period. Each group has a period average (for example Term 1 avg). Marks that fall outside every term sit under Outside terms. The last numeric column is Year.
One term
When you pick a term, you see only that period’s assessments and a single Average column.
| Cell | Meaning |
|---|---|
| Number or letter | Graded mark |
| Tint | Below the scale’s sufficiency threshold |
| — (Abs.) | Absent — left out of averages |
| · | Exempt — also left out of averages |
| Grey name | Archived student (kept for history) |
The footer row is Class average. Under each assessment you may also see N below — how many students are under sufficiency.
Averages are weighted by each assessment’s weight (default 1, set when you create the assessment). Qualitative + / − tallies can appear beside averages; they do not change the numeric mean.
All year uses the dates of the school year in the Year menu — not every mark you have ever entered.
Empty grids
- Add students to start grading — the class has no roster yet. Add names, then come back.
- No assessments yet — click Add assessment to put the first column on the grid.
Change a mark in the grid
Click a cell. A small editor opens with the mark, Present / Absent / Exempt, a Note, then Save and Cancel.
Press Enter to save, Esc to close. Clear the mark field and save to remove a grade. A lone + or − is a qualitative note when the assessment has no max points.
Student grades
Click a student name to open Student grades on the right. This history covers every class that student belongs to, not only the grid you were viewing.
- Click the name to Rename
- Classes they belong to
- Overall Average, how many marks are graded, and a Grade trend chart when there are at least two numeric marks
- By term averages when terms exist
- Marks table (date, class, assessment, grade) — click a title to open that sheet
If the list is long, the table shows the most recent marks; the average still uses every mark. Close with Close, the dimmed background, or Esc.
Export CSV
Click Export CSV. The file includes student names, one column per assessment, absences as ABS, exempt as EX, an Average column, and a Class average footer — useful if you need to import into your school’s register.
