Set up your class roster

Add student names to each class so you can enter marks on grading sheets and see averages in the gradebook.

By the end of this guide you'll have student names on your classes so you can grade exams and open the class gradebook.

Prerequisites

Create at least one school, subject and grade (class) under School Settings.

What the roster stores

GapFiller keeps names only — no email, birth date or parent contacts. Rosters are yours: another teacher’s students never appear on your classes.

Use the roster for:

  • Entering marks on a grading sheet
  • Reading averages in the gradebook
  • Picking a random student from the class in Teacher Tools

Add students to a class

    Open School Settings

    From the sidebar, open School (page title School Settings), then the Grades tab.

    Open the class

    Click the grade you want (or the student-count chip on the card). Scroll to the Students section.

    Paste or type names

    In Add students — one name per line, paste a column from a spreadsheet or type names. Tabs and semicolons are fine. You can add up to 200 names at once.

    Click Add

    Click Add (or press Ctrl+Enter / Cmd+Enter). Duplicates are skipped; an archived student with the same name is restored instead of duplicated.

Rename, archive and delete

Archived students stay off new grading sheets and pickers, but their history remains and they appear greyed in the gradebook. Use Show archived / Hide archived to toggle that list.

Students with grades cannot be deleted. Use Archive instead — the button hint says Has grades — archive instead.

Copy students from another class

If you teach the same group in more than one subject (e.g. Maths 3A and Physics 3A), copy instead of retyping:

  1. Open the destination class → Students
  2. Under Copy students from another class, choose the source class
  3. Click Copy

Names already on the destination class are skipped.
