Upload and organise materials

Upload files to GapFiller, search and filter your library, tag materials, and attach them to lessons, exams and curriculum topics.

By the end of this guide you'll upload files to GapFiller, find them quickly, and attach them where you teach.

Open Files

From the sidebar, open Files. The page title is File Management — manage lesson materials, exams and curriculum resources.

You'll see three tabs across the top:

Open Files in the sidebar — File Management is your materials library

Upload from your computer

On File Management, click Upload (or Upload Files).

Choose one or more files. Supported types include documents (PDF, DOC, DOCX), images (JPG, PNG, GIF), presentations (PPT, PPTX), spreadsheets (XLS, XLSX) and more.

Filenames must stay within the length limit. If a name already exists, GapFiller warns you before you proceed.

Click Upload to add PDFs, slides, images and more from your computer

Storage usage appears on the page (Storage:). Plans have different limits — upgrade from Subscription if you need more space.

Find and organise

  • Search files… — find by name
  • Filters — schools, subjects, grades, file type, date range
  • SourceAll, Local, Google Drive or OneDrive (handy after you import from the cloud)
Search by name and filter by school, subject, grade, type or source

Tags

Use Tags to label materials (e.g. “worksheet”, “exam paper”). You can add or remove tags on one file or on a selection (Add Tags to Selected / Remove Tags from Selected), and Manage Tags to create colours and names.

Preview, rename, download, delete

On each row you can Preview, Rename, Download or Delete. Select several files for bulk delete when you clean up.

Attach materials to a lesson

From Files

  1. Select one or more files
  2. Click Add to Lesson
  3. Choose the lesson and Attach Files
Select files, then Add to Lesson to attach them to a calendar lesson

From a lesson (or topic)

Open a lesson → Materials tab → Add Material. You can upload a new file, choose from Files, or paste a link. Curriculum topics work the same way when you edit a topic’s materials.

The Associations column shows where a file is used (lesson, exam, curriculum topic).
