By the end of this guide you'll know how to switch calendar views — including Stream — filter what you see, and use the Curriculum overlay to plan by class.
Open the Calendar
From the sidebar, open the Calendar. Your lessons, exams and personal events all live here.
Switch between views
In the calendar header, choose Day, Week, Month or Stream.

You can set your preferred default view under Profile → calendar preferences (Default calendar view), including Stream — see Change language and preferences. GapFiller will open that view next time.
Move around the calendar
In Day, Week and Month:
- Click Previous or Next (the chevrons) to step through days, weeks or months
- Click Today to jump back to the current day
- In Day view you can also jump with quick links for nearby days when available
In Stream, month arrows are hidden. Use Today to reset the date, and scroll each class timeline sideways (or use the caret buttons) to move through lessons. A Now marker sits between past and upcoming lessons.
Stream view — plan by class
Stream is built for a different question than Week or Month: not “what happens on Tuesday?”, but “how is this class progressing across the year?”
It is available on desktop (wider screens). On mobile, use Day, Week or Month — GapFiller will switch away from Stream on a narrow screen.
How Stream is organised
Lessons are grouped under Class Streams: school → subject → class. Each stream looks like a row with a header such as school name • subject • class, plus a count of events.
Under that header, lessons appear in chronological order on a horizontal timeline. You scroll sideways within a stream to move through the year. Click any lesson to open it, just like in other views.
Personal events do not appear in Stream — only lessons tied to a school, subject and class (including exams that sit on the calendar as lessons).
Stats on each stream
Each stream header can show quick badges:
- prepared — how many lessons you've marked as prepared out of all lessons for that class
- remaining — expected lessons still ahead, based on your timetable and holidays
These help you see, at a glance, whether a class is ready for the coming week and how much teaching time is left.
Curriculum in Stream
Stream is also where GapFiller connects your calendar to your curriculum (the sequence of topics you plan to teach for a subject and class).
Turn on Curriculum
Next to the view buttons, click Curriculum. GapFiller loads the curricula linked to each class — including curricula shared across more than one class.
When Curriculum is on, you also get a planned badge: calendar lessons compared with the number of topics to cover.
Curriculum chips under the stream show each curriculum name and how many topics are already applied to lessons for that class (applied / total). A shared curriculum shows a small indicator; hover to see that it is shared among multiple classes.
What you see under each lesson
With Curriculum on:
- Linked lessons show the related topic under the lesson (sequence number, category and title)
- Matched — the lesson title aligns with the topic → Lesson matches curriculum item
- Mismatched — the lesson is linked, but the titles differ → Lesson content differs from curriculum
That makes it easy to spot lessons that still need a clearer title or a different topic link.
Suggested topics and Link
For upcoming lessons that are not linked to a topic yet, Stream can show a Suggested next topic from your curriculum, with a Link button.
Click Link to attach that topic to the next unlinked future lesson in the stream. Repeat as you work along the timeline — a practical way to apply your curriculum without opening every lesson one by one.
Use Week or Day when you're packing tomorrow's bag. Switch to Stream when you want to check preparation, remaining lessons, and how your curriculum is landing on the calendar for each class.
Colours and preparation
Each lesson is coloured mainly by class (the colours you set during onboarding or in preferences). If a class colour isn't set, GapFiller falls back to the subject colour.
If Show preparation tracking is on in your profile:
- Prepared lessons look stronger and show a checkmark
- Lessons that still Need Prep look a little softer
A small document icon appears when a lesson has materials attached.
Filter what you see
Under the header, use filters to narrow the calendar (they work in Stream too):
- Schools
- Subjects
- Classes (shown as grades in some labels)
- Types — Lesson, Personal Event, Exam
On mobile, open the panel with Filters. When you've changed filters, you can reset with Clear all filters.
This is handy when you teach in more than one school or want to hide personal events while you plan lessons.
