By the end of this guide you'll have a timetable — the weekly schedule for a school, subject and class — with time slots that drive lessons on your calendar.
What a timetable is
A timetable answers: when does this class meet during the week, and for which part of the year?
You define:
- Which school, subject and class (shown as Grade in some labels)
- A start date and end date (the period to fill)
- One or more slots — e.g. Monday 09:00–10:00, Wednesday 11:00–12:00
GapFiller then creates calendar lessons for each matching day in that range. You don't add every lesson by hand.
Prefer to design content (plans and files) separately? Build a curriculum. The timetable places lessons on dates; the curriculum fills what you teach.
Before you start
You need at least one school, subject and class. If you're brand new, finish the onboarding walkthrough first (you can create a timetable there too, or skip and do it here later).
Where to find Timetables
- From the sidebar, open School
- On School Settings, open the Timetables tab
- Click Create New
Create the timetable

Fill in the basics
Enter:
- Timetable Name (required) — e.g. “3A Math — 2025–26”
- Description (optional)
- School, Subject and Grade (your class) — required
- Start Date and End Date — the period GapFiller should fill with lessons
Name the timetable, choose school, subject and class, then set the date range - 2
Add time slots
Under Manage Time Slots, for each weekly meeting:
- Day of Week
- Start Time and End Time
- Location (optional) — room or building
Click Add Slot. Repeat for every day this class meets.

Save
Click Create New. If you already added slots, GapFiller generates lessons for the date range right away. If you save without slots, add them afterwards — each Add Slot also generates lessons for that slot.
Edit and manage slots
Open the timetable to Manage Slots (or manage slots in the form):
- Edit a slot — change day or times (you'll choose whether to update all linked lessons or future ones only)
- Duplicate a slot — copies the slot pattern; add or adjust it if you need lessons on another day
- Delete a slot — choose whether to remove all or only future lessons tied to that slot
You can also edit the timetable itself (name, dates, school/subject/class). When lessons already exist, GapFiller asks whether to Update All Lessons or Update Future Lessons Only.
Deleting a whole timetable offers the same choice for its lessons: all, or future only.
During onboarding
In the first-time setup, the Timetables step lets you create a timetable and slots with Create Timetable / Add Slot. You can Skip and come back later via School → Timetables.
Lessons from onboarding timetables are generated when you finish onboarding (not one-by-one while you're still in the wizard).
Holidays
School holidays (under Academic Calendar in School Settings) are skipped when lessons are generated — those dates won't get a lesson from the timetable. Set holidays before or after creating the timetable; regenerating/extending the range respects them. Details: How lessons are generated from a timetable.
